Shopify Payout Reconciliation Audit

Each Shopify payout mixes charges, refunds, disputes, adjustments, and fees into one bank deposit. Turn the Transactions CSV into per-payout subtotals your accountant can tie to the bank statement.

Private by default. Your Shopify payout transactions CSV data stays in this browser session. The export applies only safe deterministic changes and leaves manual-review items in the findings list.

Use this payout reconciliation audit when Shopify deposits do not match order totals in your accounting software. Export the Transactions CSV (or Balance transactions CSV) from Shopify Finances, upload it here, and the audit groups every row by payout, maps each transaction type to an accounting bucket — sales, refunds, disputes, adjustments, fees — and checks that gross minus fee equals net on every row. It flags unrecognized transaction types, mixed currencies, and dispute rows that need manual review, then exports a worksheet with per-payout subtotals. Everything runs locally in your browser; no bank connection, no accounting API, and no stored finance data.

Import blockers

Common causes this scan checks

  • A bank deposit combines many orders minus refunds, disputes, adjustments, and processing fees.
  • Order totals in accounting software never match the payout amount without a row-level breakdown.
  • Refunds and chargebacks settle in later payouts than the original sale.
  • Fee and net columns drift after spreadsheet edits, hiding math errors until a books review.

Workflow

How to use the cleaned CSV

  1. Export the Transactions CSV from Shopify admin under Finances, then upload it here.
  2. Review the findings for math mismatches, unrecognized types, disputes, and mixed currencies.
  3. Export the reconciliation worksheet with per-payout gross, fee, and net subtotals.
  4. Tie each payout subtotal to the matching bank deposit and book the buckets in your accounting system.

Auto-fix policy

What the export can safely change

  • Detects payout date or ID, transaction type, order, gross, fee, net, and currency columns.
  • Maps each transaction type to an accounting bucket for sales, refunds, disputes, adjustments, and fees.
  • Verifies gross minus fee equals net per row and flags mismatches for review.
  • Exports per-payout subtotals so each deposit can be reconciled without manual grouping.

The worksheet groups both transactions into the July 3 payout, maps the charge to Sales and the refund to its own bucket, and adds a payout-total row whose 28.25 net is the number to tie against the bank deposit.

FAQ

Shopify CSV questions

Which Shopify export does this need?

The Transactions CSV or Balance transactions CSV from Shopify Finances. Both carry the payout date, transaction type, and gross, fee, and net amounts the audit groups.

Does it connect to my bank or accounting software?

No. It only reads the CSV you upload, in your browser. You review the worksheet and book the numbers in your own accounting system.

How are refunds and disputes handled?

They stay inside the payout they settled in, mapped to their own accounting buckets, so you can see why a deposit is smaller than the day's sales.

Is my finance data uploaded anywhere?

No. The file is read locally with the browser File API and nothing is stored or transmitted.
